Position Summary

The Technical & Quality Support Coordinator provides essential support to the Operations Executive by assisting with routine coordination tasks, quality documentation, and particularly managing service invoicing processes. This role requires strong organizational skills, attention to detail, digital literacy, and the ability to work collaboratively in a team environment. The Coordinator supports operational efficiency while reporting indirectly to the COO through the Operations Executive.

Key Responsibilities

  • Assist the Operations Executive with daily administrative and operational tasks including but not limited to medical devices.
  • Support the management of service invoicing, ensuring accuracy, timeliness, and proper documentation of all service-related billing.
  • Help maintain and update digital records related to technical operations, quality assurance, and client service activities.
  • Facilitate communication flow between service teams, finance, and management for invoicing and related queries.
  • Support quality documentation and compliance maintenance by organizing and digitizing records.
  • Contribute to team collaboration efforts by ensuring smooth administrative workflow and timely task follow-up.
  • Assist in gathering data for reporting and performance metrics related to service and quality operations.
  • Maintain fluency in English and Maltese communication across internal and external correspondence.
  • Utilize digital systems effectively to support operational tasks.

Essential Qualifications & Skills

  • Minimum of a diploma or equivalent in business administration, technical studies, or related fields.
  • 1-2 years of experience in an administrative, operational, or technical support role.
  • Strong organizational skills with an ability to prioritize tasks and manage deadlines.
  • Demonstrated initiative and reliability in a team setting.
  • Basic understanding of invoice processing, billing cycles, and service order management.
  • Proficient digital literacy including Microsoft Office suite and familiarity with invoicing or ERP systems.
  • Capable of supporting multiple departments and ensuring smooth workflow under supervision.

Desirable Attributes

  • Exposure to quality assurance or technical support environments is advantageous.
  • Familiarity with laboratory or engineering equipment service environments is a plus.
  • Willingness to learn and grow within the company's technical and operational framework.
  • Strong interpersonal skills to assist with cross-department communication and client service.
