We are currently looking for a Receptionist to be the main point of contact for any visitors to our Head Office in Mriehel.

The Job

As a Receptionist at db Group, you will be the first point of contact for visitors, clients, and employees, representing the welcoming and professional face of the company. Your primary responsibility is to ensure a positive experience for all individuals entering our premises and to facilitate smooth communication and office operations. Your tasks include:

  • Greeting and welcoming visitors in a warm and friendly manner
  • Answering and redirecting incoming calls to the appropriate departments or personnel
  • Notifying relevant employees of visitor arrivals and ensuring they receive proper assistance
  • Serving as a point of contact for inquiries from clients, vendors and employees, providing accurate information and support
  • Coordinating courier services and handling incoming and outgoing mail/packages
  • Handling inquiries and requests promptly and professionally, ensuring exceptional customer service
  • Communicating effectively with internal teams to relay messages and facilitate efficient workflow
  • Maintaining a tidy and organized reception area
  • Assisting with various administrative tasks such as data entry, filing, sorting and distributing mail, scheduling appointments and managing office supplies
  • Monitoring building access, signing in visitors and ensuring protocols are followed
  • Providing administrative support to other departments as needed

Job Requirements

  • Excellent interpersonal and communication skills, with a friendly and professional manner
  • Strong organizational and multitasking abilities
  • Meticulous attention to detail
  • Ability to remain calm and composed under pressure
  • Capacity to handle challenging situations with tact and diplomacy
  • Prior experience in a receptionist or customer service role (preferred)
  • Basic skills in MS Office (Word, Excel, Outlook)
  • Ability to handle multiple tasks simultaneously and prioritize effectively
  • Good verbal and written communication skills in English and Maltese
