Role Description The Personal Assistant to Director is a full-time, on-site role based in Birżebbuġa. This role provides comprehensive administrative support to the Director, including managing diaries, scheduling meetings, organizing travel, and preparing correspondence and documentation. Daily tasks include handling phone calls and emails, maintaining records and files, drafting reports and presentations, and coordinating internal and external appointments. The Personal Assistant also supports general office administration, follows up on action items, and ensures effective communication between the Director and other stakeholders. The position requires a high level of confidentiality, professionalism, and the ability to prioritize tasks in a fast-paced environment. Qualifications
• Strong Personal Assistance and Executive Administrative Assistance skills to support senior leadership effectively.
• Proficient Diary Management skills, including scheduling, calendar coordination, and meeting organization.
• Solid Administrative Assistance and Clerical Skills, including document preparation, filing, and data entry.
• Excellent written and verbal communication skills in English; additional languages are an asset.
• High level of discretion, reliability, and ability to handle confidential information.
• Strong organizational and time-management abilities, with attention to detail and accuracy.
• Competence in MS Office and common office software; experience with digital scheduling tools is preferred.
• Previous experience in a similar role supporting a Director or senior manager; experience in HR and Health and Safety.
• Secondary or post-secondary education in administration, business, or a related field is desirable.
