Workshop Administrator

Our client, a respected organization in Malta, is currently seeking a Workshop Administrator to join their team.

Key Responsibilities:

• Receive, record, and inspect all buses entering the workshop, ensuring all necessary documentation is completed and updated in the software system.
  
• Deliver, track, and update work orders to the Supervisor for assignment to technical personnel.
  
• Maintain accurate and timely updates in systems such as Maximo, including opening and completing work orders and inputting staff hours.
  
• Ensure staff complete the required tasks and fill in their job cards appropriately.
  
• Complete job cards and other documentation related to the job to guarantee full traceability.
  
• Update the Vehicle Off Road (VOR) status daily, reflecting the progress of maintenance or repairs.
  
• Prioritize towed buses in the VOR system and ensure they have corresponding work orders.
  
• Maintain ongoing communication with the Supervisor and Workshop Manager regarding vehicle status in the workshop.
  
• Ensure all documentation related to completed bus repairs is properly filed.
  
• Participate in internal audits related to work order management and VOR control.
  
• Generate periodic reports as required by the workshop's operational needs.
  
• Adhere to company health and safety policies at all times.
  
• Perform any other duties related to the position as required by business needs.
  

Requirements

• ECDL qualification.
  
• Intermediate to advanced English proficiency is required; knowledge of Maltese and Spanish is considered an asset.
  
• Minimum of two (2) years of experience in a similar role or in related areas such as fleet operations, fleet logistics, or vehicle maintenance workshops.
  
• Demonstrated experience with document management and fleet logistics systems such as Maximo.
  
• Proficient use of MS applications, particularly Excel and Word.
  
• Availability to work shifts on a roster basis between Monday and Sunday, including night shifts.
