As the Admin & Finance Specialist, you will be responsible for managing the daily flow of financial data and providing essential administrative support to the different teams within the organisation. The core focus of this role is the accurate and timely posting of all incoming and outgoing invoices to maintain clean and reliable financial records.  In this role, you will be able to work flexibly and remotely on reduced hours while making sure that deadlines are met.

Key Responsibilities:

  • Data Entry: Perform accurate data entry for Accounts Payable (AP) and Accounts Receivable (AR) invoices into the accounting system.
  • Media Buying: Purchase ad space and time across various channels to achieve marketing objectives. Issuing of Purchase orders and sales orders.
  • Transaction Processing: Process and post daily financial transactions, including receipts, payments, and expense reports.
  • Record Keeping: Maintain and organise all physical and electronic financial documentation and files, ensuring easy retrieval and compliance.
  • Reconciliations: Assist the team with month-end closing procedures and supplier statement reconciliations.
  • General basic Office Administration.

Requirements:

  • Proven experience (1+ years preferred) in a finance support, accounts assistant, or administrative role.
  • Exceptional data entry speed and accuracy with meticulous attention to detail.
  • Proficiency with standard accounting software and G-Suit.
  • Strong organisational skills and the ability to multitask in a busy environment.
  • Excellent verbal and written communication skills in English. Fluency in Maltese is considered an advantage.
