Job Summary
The Inventory Coordinator will support The Ritz-Carlton Yacht Collection's full inventory, group, and lead tasks. He/She will report to the Groups and Inventory Sr. Manager.
Essential FunctionsAs part of Global Reservations, the Inventory Coordinator will manage the full suite inventory levels for each yacht to ensure full efficiency levels and maximize company revenue.
Process lead reassignments when required.
Process waitlist reservations and assist with clearing guests with a fast and efficient turnaround process.
Process reservation refunds and record the required details.
Ad hoc reporting of inventory and waitlist revenue that has been generated.
Hold suites for MICE, Enrichment, FIT & Incentive Groups, and other departments.
Process payments for MICE, Enrichment, FIT & Incentive Groups.
Ensure funds posted to Resco are correct with the standard accounting reconciliation process and the cruise closing procedure is followed with final reconciliation.
Support the final statement of travel agency partners.
Ensure that Resco system testing is performed and documented.
Manage the SOLAS capacity requirements and Bonvoy redemption limits per sailing.
Audit bookings to comply with internal policies.
Assist with the final payment cycle and closing of voyages.
Process VIP, Press, and Suite requests from other departments.
Demonstrate ability to answer detailed questions regarding the product and systems.
Maintain courteous & professional telephone etiquette at all times.
Develop and maintain positive working relationships with all departments.
Other duties may be assigned.
Minimum 2-year college degree or 3 years of experience equivalent
Skills & Experience:
Minimum 2 years of Customer Service and Sales experience required, ideally from a luxury cruise background
Excellent written & verbal communication skills with the ability to convey information in a clear, concise manner
Attention to detail with an analytical approach
Ability to learn and utilize the reservation system
Must commit to delivering a high level of customer service
Proficiency in Microsoft Office (Excel, Word, PowerPoint, OneNote, and Outlook); ability to learn new systems quickly
Maintain positive, pleasant behavior while engaging customers & colleagues
Ability to learn and understand policies & procedures to make reservations and assist callers with each aspect of the booking process
Strong organizational skills are essential for multitasking
