SASMAR is excited to announce an opening for an Administrative Assistant to join our dedicated and vibrant team in Ta' Xbiex, Malta. We are a leading international company specializing in the development of innovative personal care and fertility products, including our well-known Conceive Plus brand. Our global operations span across key markets, providing our products in over 70 countries.
In the role of Administrative Assistant, you will provide crucial support to the team by ensuring that various administrative tasks are completed efficiently and effectively. You will be a key player in maintaining a well-organized office environment while helping to facilitate seamless communication across departments.
Key Responsibilities- Provide administrative support to team members, including scheduling and coordinating meetings and appointments.
- Manage incoming phone calls and emails, responding or redirecting as necessary.
- Assist in preparing documents, reports, and presentations for internal and external use.
- Organize and maintain electronic and physical filing systems for easy retrieval.
- Support HR efforts by assisting with onboarding new employees and maintaining personnel documentation.
- Coordinate travel and accommodation arrangements for staff members as needed.
- Order and manage office supplies and equipment, ensuring all resources are available.
- Assist with company-wide events and team-building activities.
- Uphold company policies and procedures relevant to administrative functions.
Requirements
- Proven experience as an administrative assistant or in a similar role.
- Proficient in Google Office Suite and Google Workspace.
- Strong organizational skills with a keen eye for detail.
- Excellent oral and written communication skills.
- Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- High degree of professionalism and the ability to handle confidential information.
- Experience in managing office supplies and administrative functions.
- Proactive attitude and problem-solving capabilities.
- Ability to work well both independently and as part of a team.
- Fluency in English; knowledge of additional languages is a plus.
